Privacy Policy

This Privacy Policy explains how Halo Digital (“we”, “us”, “our”) collects, uses, shares and protects personal information. We are a company registered in South Africa (Enterprise no. 2026/669579/07). We are committed to handling personal information responsibly and in line with the Protection of Personal Information Act, 2013 (POPIA).

1. Who we are

Halo Digital is a web studio based in Durban and Ballito, South Africa. We build websites, online booking systems and automated customer-messaging (retention) tools for local service businesses. You can contact us at hello@haloaidigital.com.

2. Information we collect

• Enquiries. When you contact us, we collect your name, email address, and any details you choose to share about your business.
• On behalf of our clients. When we build and operate booking and messaging systems for a client business, we process that business’s customer information — such as name, mobile number, email and appointment details — strictly to provide the service. In this role we act as an operator/processor on that business’s instructions.
• Website usage. Our marketing website uses only essential technical data needed to serve the site securely. We do not use advertising trackers.

3. How we use information

• To respond to your enquiries and provide our services.
• To operate our clients’ booking and retention systems — for example, sending appointment confirmations and reminders and requesting reviews after a visit.
• To meet legal, accounting and security obligations.

4. SMS & WhatsApp messaging

On behalf of our client businesses, we send transactional and service messages by SMS and WhatsApp — booking confirmations, appointment reminders, and review requests.

• Consent. Mobile numbers are provided by the customer to the business at the time of booking, and messages relate to that booking or relationship.
• Opt-out. Recipients can stop messages at any time by replying STOP. Reply HELP for assistance. Opt-out requests are honoured promptly.
• No selling. We never sell mobile numbers or personal information, and mobile numbers are never shared with third parties for their own marketing. Message and data rates may apply.

5. Sharing and third-party services

We share personal information only with service providers that help us deliver our services, and only to the extent needed. These include our messaging provider (for example, Twilio), our hosting and database providers, and Google (for review links). These providers process data under their own terms and appropriate safeguards. We do not sell personal information.

6. Retention

We keep personal information only for as long as needed for the purposes described above, to run the relevant service, and to meet legal obligations, after which it is deleted or anonymised.

7. Security

We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, but we work to protect your information.

8. Your rights

Under POPIA you may request access to, correction of, or deletion of your personal information, and you may object to certain processing. To exercise these rights, email hello@haloaidigital.com. If we process your information on behalf of a business you deal with, we will direct your request to that business where appropriate.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be posted on this page with its effective date.
